In addition to using your normal password when logging into CloudSign, two-factor authentication can also be used which uses a one-time password issued by a smartphone application.

What you can do with the two-factor authentication

Using this function significantly enhances security by preventing unauthorized access, even in the event that your password is used maliciously by a third party.

Precautions

  • Two-factor authentication will not be available if you change or lose your device.

  • Saving a backup code from the Manage Settings Screen after enabling two-factor authentication is recommended.

  • With the Business Plan or higher,two-factor authentication is not available while the SSO (Single Sign-on) function is being used.

  • While two-factor authentication is being used, the electronic signature and certificate of contract conclusion will state “two-factor authentication” as the “authentication method for relevant parties to the concluded contract.”


Operation method (Preparations)

CloudSign’s two-factor authentication uses the following smartphone applications.

Download the application before configuring settings.


Free Plan users

1. Go to “Security” in the Manage Settings Screen.

2. Click “Two-factor authentication settings,” and enter your login password to start configuring settings.

3. Configure two-factor authentication using the authentication application.

Launch the application downloaded earlier, and select “Scan barcode.” Scanning the QR code shown on the PC displays a 6-digit authentication code on your smartphone. Enter the authentication code in to the input field and click “Set.”

4. You will receive a notification by email when the authentication application settings have been completed. Settings are complete when you receive an email with the subject “Two-factor authentication has been enabled.”

When logging in after completing the settings, please enter the authentication code displayed in the application.

5. To obtain a backup code, go to Security in the Manage Settings Screen, and in “Two-factor authentication settings” click “Get backup code.”

6. A password popup will show up, so enter the password and click “Download.”

A file containing the backup code will be downloaded automatically.

This completes the process for obtaining a backup code.

Storing the backup code is recommended in case you change or lose your device.


Paid plan users

Two setting methods

  1. If the administrator has set two-factor authentication as optional

  2. If the administrator has set two-factor authentication as required

Refer to the required case if any of the following apply.

  • You have received a notification email stating that two-factor authentication has been required

  • When logging in, the “Set two-factor authentication using the authentication application” screen appears
